We are currently looking for an OPERATIONS AND SERVICES MANAGER

We are looking for our new Booking Ninja to join our small office team while our General Manager will be on maternity leave.  

Role:

The Wellington Circus Trust is a creative and dynamic organisation with a supportive community. Your role will be to help support the day to day running of the circus space and bookings with the General Manager, and to liaise with students and our team of passionate circus trainers. The job is demanding, fast paced, ever changing and forms the vital backbone for our small, part-time and hardworking office team.

Reports to:

General Manager

Position:

The position is 22 hours per week (0.6 FTE). Four additional paid hours may be possible for each Board meetings to perform secretariat role.

The position is a fixed term employment agreement, to cover during a maternity leave.

Starting date:

Early February 2022 (exact date tbc).

Essential/Key Attributes: 

  • The ability to be adaptable, to work independently and as part of a small team,     

  • Excellent verbal communication skills,    

  • Knowledge of and experience with Excel, Google docs, OneDrive and Gmail,   

  • Excellent computer skills and the ability to learn new systems,   

  • Attention to detail and accuracy;  

  • A commitment to robust, transparent and timely communication;  

  • Ability to deal with large and varied workloads,   

  • A professional and friendly phone manner and presence,    

  • A positive outlook and sense of humour,   

  • Problem-solving.   

Desirables Attributes: 

  • Experience of Glofox or similar online booking management system.  

Key Responsibilities 

ADMINISTRATION 

  • Answer queries and manage bookings through the website, booking system, email, phone, and social media platforms.   

  • Log classes and maintain the booking system and store.  

  • Manage venue and group bookings including schools, youth groups, corporate groups, and birthday parties.   

  • Liaise with trainers for bookings and schedule changes.  

  • Update the information available on the website.   

  • General office duties. 

MARKETING 

  • Implement sales, communication and social media strategies and report to the General Manager.  

  • Report students’ feedback to the General Manager.  

  • Assist with the design of promotional material as required.  

 

DEVELOPMENT OF CURRICULUM, AND TRAINING AND PERFORMANCE PROGRAMMES 

  • Organise workshops for visiting groups, including schools, special-needs groups, social circus and corporate clients.  

  • Organise workshops with visiting trainers as appropriate. 

  

 

WORKING WITH THE BOARD 

  • Write the Board meetings minutes.  

  • Distribute and file Board documents.  

  • Liaise with Board members to schedule Board meetings.   

 

CONTINUOUS IMPROVEMENT 

  • Advise on improvements to make on systems, policies, processes and procedures to ensure the effectiveness and efficiency of administrative functioning and the health and safety of everyone  

  • Assist with space and equipment improvements
